Public Works is requesting approval for the purchase of a large-format image plotter and scanner from A&E Reprographics. Three quotes were obtained with A&E Reprographics being the lowest (see attached quotes). Currently the Camp Verde office does not have a scanner capable of handling large-format documents. As a result the documents are stored on site, and the facility has exceeded its storage capacity. Scanning large documents will eliminate clutter and provide a searchable electronic database that is protected in the event of fire, flood, and other hazards that might result in destruction of hard copies. Public Works has an employee on staff to coordinate the scanning project. Additionally, this equipment will replace an existing plotter that is older, slow, and becoming more of a maintenance problem. Funding was approved for this item in the FY 2018-19 HURF budget (up to $11,000.00).
We respectfully request the Yavapai County Board of Supervisors approve the purchase of a large-format image plotter and scanner in the amount of $9,565.72 from the HURF budget.
