RECOMMENDATION
Discuss and consider reclassifying Senior Admin Clerk position (pay group) 17 to an Admin Secretary II (Pay Group 19) in Department 5200.
BACKGROUND
The Sr. Admin Clerk’s salary is $34,798.40.  The Admin Secretary II’s salary is $39,270.40.  The difference of $4,472. Plus benefits of $894.40 for a total of $5366.40 is needed to fund the reclassification.
 
DISCUSSION
The TMA (The Maintenance Authorization system) software is now being used for building maintenance, road and bridge, engineering work orders, assignments, and/or contracts.   This software assists in managing all work orders that go through the Public Works department.  It also assists with the management of invoices and any notes that pertain to these orders, as well as, the employee(s) responsible for the assignment. 

In order to manage this software and handle the administrative duties, rather than hiring a full-time senior clerk (Pay Group 13, $30,097.60), the duties will be assigned to the employee in the reclassified position for a cost savings of $24,731.20.
 
The Administrator duties have been given to this clerk to manage the system and see that all employees are trained on how to use the system to its fullest potential for a better management of work assignments.
