MINUTES

Wednesday, November 11, 2015
Present:

1. Call to Order at 6:00 p.m. by President Rau.
             
2. Approval of the minutes of the regular meeting.
  Motion by Member Kathleen Lysaght, second by Rep. for Superintendent (Ex Officio) Kathy Finley
  Vote: 6 - 0
             
3. Approval of invoices per list
  Motion by Rep. for Superintendent (Ex Officio) Kathy Finley, second by Member Kathleen Lysaght
  Vote: 6 - 0
             
4. New Business - Items for Discussion/Action/Possible Approval
             
a. Approval of the Bridges Library System Membership Agreement
  Motion by Member Peggy Haas, second by Member Janet Dake
  Vote: 6 - 0
             
b. Motion to change responsible parties on checking account.
  Motion by Member Janet Dake, second by Rep. for Superintendent (Ex Officio) Kathy Finley Motion was made to remove Kathy Paulik as the primary signer on the library small checking account.  Ellen Rohr will remain a signer but be changed to the primary signer and Pamela Kosanke will be added as a secondary signer.  Either party may sign checks.  Both signatures are not required.
  Vote: 6 - 0
             
5. Unfinished Business - Items for Discussion/Action/Possible Approval
             
a. Menomonee Falls Library Foundation: Nothing to report. Still in Discussion with Village Finance. - Finance has been tied up with the budget. There is a short time span between budget and auditors. We hope to finalize discussions within that window.
             
b. Report on Dolly Parton Foundation (Rohr) - This was originally brought up as a possible service for our patrons. After checking into it, it is not available in this area of the country.
             
6. Budget and Personnel Committee:
             
a. Discussion and possible approval of Job Descriptions.
  Motion by Member Kathleen Lysaght, second by Member Peggy Haas Motion to approve job descriptions for the following positions:
Acquisitions/Circulation - Part Time
Cataloger/Reference - Full Time
Acquisitions/Reference - Part Time
Youth Librarian/Programmer - Full Time
  Vote: 6 - 0
             
b. Discussion of Director Job Description - There was further discussion on this job description. A few adjustments were made. It will be brought to the next meeting for further discussion. Vote for possible approval will be done in January.
             
7. President's Reports - There was a short discussion on the replacement for our open Library Board position.
             
8. Director's Report
             
a. Update on Jefferson County Merge - An update was given on the Jefferson County Merge. The catalog will be down Dec. 2 until sometime on December 10. The catalog will not be available, no holds will be able to be placed. We will not be getting books from other libraries. When it comes up with will have access to all of Jefferson County materials.
             
b. Update on Lighting Installation/Library Closing - The library will be closed Dec. 3 and 4 to install the new lighting. This is during the time the system will be down so it will have the least impact on patrons.
             
c. Semi-Annual Book Sale - The book sale netted over $1000 this year.
             
d. Holiday Hours - Library will be closed the Wed. before Thanksgiving at 5 pm, Open the day after Thanksgiving, Closed Christmas 24-26. Closed New Years Day,
             
e. Employee of the Month - Pam Kosanke, Circulation Services Supervisor, has been chosen this month's employee of the month. Over the summer she had a large turnover in the number of pages. Many of our existing pages left for college or to pursue other things. At the end of summer, Pam was responsible for training almost a complete new staff of pages. For training purposes it was decided to have some overlap between the old and new pages. Pam was responsible for scheduling these pages and having enough work for all of them to do during this training time. Also, with the library being offline for a week, she has been doing an excellent job making sure everything is coordinated for the offline time. Pam has done an excellent job. Thank you, Pam for all your hard work.
             
9. Trustee's Report - the construction on Pilgrim and Main is expected to be finished in November. Costco and Kwik Trip are now open.
             
10. Friends' Report - No report.
             
11. Next Meeting: Wednesday, December 9, 2015, 6:00 pm, Publick House at Old Falls Village N96W15791 County Line Road Q, Menomonee Falls, WI. Informal gathering to follow.
