A Resolution Authorizing The City Manager To Enter Into An Agreement With Industrial Communication And Sound (ICS) To Design, Procure, Install And/Or Provide Related Services For The Audio And Video Equipment Upgrades To The Council Chambers In The City Hall Building.

Purpose and Background
At the request of City Council, City Staff have been exploring options for upgrading the existing audio/visual equipment in the Council Chambers.  The existing equipment is analog equipment that is about fifteen years old and in need of upgrade to more modern and digital technologies. 

At the April 9, 2018 City Council Meeting, Council approved a Request For Proposals (RFP) for the audio/video equipment upgrades in the Council Chambers (see attached) with Resolution No. 2018-R-6635.  The deadline for submission of proposals for the RFP was May 11, 2018.  At the RFP bid opening meeting on May 11, 2018, the City received three proposals.

Information Technology Director Branden Payton and Clerk of Council Anthony Rodgers presented an analysis of the proposals received and a recommendation for selecting Industrial Communication and Sound (ICS) as the lowest and best bidder for these equipment upgrades for consideration and/or approval by City Council.

Financial Implications:
Of this total amount, $56,500 is for funds for the contract award to Industrial Communication and Sound (ICS) for the audio/video equipment upgrades in the Council Chambers and $3,500 is for funds to cover materials related to this project for work to be performed by the Public Works Division and other contingency funds.
