AUTHORIZATION TO ENTER INTO AMENDMENT NO. 1 TO THE AGREEMENT WITH SOMERSET LANDSCAPE, LLC (CONTRACT C18-0445)

Purpose and Recommended Action
This is a request for City Council to authorize the City Manager to enter into Amendment No. 1 to the agreement (C-18-0445) with Somerset Landscape, LLC for landscape maintenance. The amendment would extend the term of the agreement from May 23 through June 30, 2019 and increase the compensation under the agreement by $100,000 to a total not to exceed amount of $820,000.
Background
Somerset Landscape, LLC supports our park system by providing several areas of landscape maintenance services at parks, trails, retention basins and other park facilities throughout the city. The current contract expires prior to the end of the fiscal year and interruption of these services would severely impact the condition and usability of our park system. The city issued RFP19-39 for landscape services and a new contract is expected to begin on July 1, 2019.
Analysis
This temporary contract extension request is intended to continue to provide the necessary services and resources to maintain the park system during the interim period. 
 
A special procurement to cover this period was approved by the Public Facilities, Recreation and Special Events Director and the city's Procurement division.  If approved, the contract would continue under the current terms for this period.
Previous Related Council Action
The current contract with Somerset Landscape, LLC was approved by City Council on May 22, 2018.
Community Benefit/Public Involvement
The benefit to the city and the community is that the park system provides family recreational value to the community and its citizens and is an integral part of services the city provides for the enjoyment of all with the open spaces, sports courts and playgrounds provided within our park system.

Budget and Financial Impacts:
The contract extension requested will be for six weeks beginning May 23, 2019 through June 30, 2019 for a not to exceed total of $100,000.00.  Staff will use existing Parks Division operating budget funds to cover the additional cost.
